About the role
Assist Human Resources Manager in coordinating the human resources compliance related tasks at country level.
What you will be doing
HR Compliances
- Collaborate with HR process owners to review/audit the maintenance of required compliance documentation internal control practices is in accordance with applicable laws and regulations.
- Keeps abreast of changes in laws, regulations and guidelines including those related to Malaysia Labour Law, ILO standards and etc.
- Policy development and communication.
- Design and assist the HR team in the education and training of managers and the HR organization on regulatory and compliance issues.
- Manages the process for creating and maintaining HR Standard Operating Procedures.
- Responsible for full spectrum of foreign worker management.
- Handle end-to-end work passes related issues such as application, renewal, cancellation, appeal, expiration, follow up with medical check-ups, liaise with MOHR, etc.
- Work directly with and assist the hiring managers of different functions to fulfill a variety of necessary HR tasks regarding to foreign workers.
- Track and maintain HR data of foreign workers, conduct weekly briefing for new foreign hires and administration of accommodation regulation checks.
- Day-to-day operation activities include but are not limited to organizing and facilitating the company’s onboarding procedures for new foreign hires, drafting letter of appointments and processing of invoices pertaining to foreign worker management.
- Ensure timely and accurate execution of all onboarding operations and sending correspondences regarding new foreign hires to relevant stakeholders.
Industrial Relations/ Employee Relations
- Manage employee discipline issues.
- Attend to employee grievances.
- Prepare IR case list monthly.
- Report absconds case at Labor Department promptly.
- Issue and follow up on Performance Improvement Plan (PIP).
- Facilitate communication session with employees.
- Distribute T-shirts, Birthday Cards and vouchers to employees
Foreign Worker Management
- Responsible for full spectrum of foreign worker management.
- Handle end-to-end work passes related issues such as application, renewal, cancellation, appeal, expiration, follow up with medical check-ups, liaise with MOHR, etc.

Yearly Budget + Forecasts
- Assist HR Manager to carry out reconciliation in Info Centre System on quarterly basis.
- Prepare current year details and forecasts for input into system.
Medical and Insurance Administration
- Ensure all new employees are enrolled for medical coverage.
- Ensure all new managers and confirmed staffs are enrolled for medical and insurance coverage
- Ensure all Invoices received for medical and insurance is submitted to Finance Department monthly for payment purpose with supporting documents and relevant staff details.
Others
- Provide information and data for tenders and surveys as and when required.
- Coordinate all activities to comply with ISO, OSHA and SEDEX requirements.
