AREAS OF RESPONSIBILITY (Responsibilities and expected outcome)
1. Main Duties / Key job task in-charged:
Ensure billing team’s discipline and compliance on internal system; i.e - cost registration, event updates, consistency in JIA usage.
Maintain communication with Local Sales/ Account holders, Control Tower, and Customer Service, to ensure clear understanding of current and valid pricing/ contract rates for each customer.
Work closely with our Finance/Tax dept, to maintain clear understanding of customer’s billing SOPs, policies and KPIs, as well as requirement of list of supporting documents required on invoices
Work closely with each Business Units, to improve quality and expedite flow of jobfiles from BUs to Billing Dept, in order to speed up billing with completeness and accuracy.
Maintain clear understanding of tax regulations, to ensure tax compliance of invoices
Participate in the set-up of billing procedures/requirements/SOPs for key customers.
Participate in the set-up of internal billing procedures/process flows to enhance productivity, improve KPI (speed of billing) and provide better transparency.
Check correct Purchase and Selling JIA items are used on jobfiles.
Check draft invoices, and ensure accuracy of billing; i.e – Billing Party/ 3rd Party Code used, Incoterms, complete supporting document, and accurate purchase and selling amount and JIA used.
2. Reporting Activities
Control, monitoring and updating status of Undispatch Invoices.
Control, monitoring and updating status of Pending Invoices drafts.
3. TEAM MANAGEMENT
(Supervisor to Asst. Manager)
Ensure and monitor team compliance to the Bollore’s Code of Conduct and Company’s regulations
Ensure team understanding and implementation on Bollore’s Value in daily work behaviors
Plan and monitor team performance including give coaching and counselling needed to deliver expected outcomes
4. QHSE
Participate in the set-up and follow-up of internal standard procedures to enhance productivity and transparency
Maintain acceptable Health, Safety and Environmental risk levels in his/her area of responsibility
Ensure the compliance with applicable legal requirements
